The IE Operations and Asset Coordinator will manage the full life cycle of student technology and serve as a liaison among families, staff, and vendors.

HCOS has an opening for an Operations & Asset Coordinator in the Inclusive Education (IE) division. This is a full-time, position, working 32 hours per week on site in Kelowna, BC. The primary purpose of this position is to manage the full lifecycle of student technology, from procurement and distribution to financial recovery and warranty repair, while overseeing the secure digitization of confidential student records. This role serves as the primary operational liaison among families, staff, and vendors, ensuring students have the tools and support necessary for success.
Duties and Responsibilities
- Oversee the intake, sorting, and categorization of physical inclusions and confidential student files to ensure data integrity from the moment of receipt.
- Collaborate with the IE Office Team to maintain a streamlined and searchable digital file archive.
- Track, source, purchase, transfer and ship resources for students
- Monitor stock levels for computers and essential supplies, identifying and replenishing shortages
- Verify incoming shipments against invoices and asset-tag equipment for tracking.
- Manage equipment distribution logistics, providing staff and families with accurate tracking information and status updates.
- Coordinate the return of student assets, including inspecting, refurbishing hardware, and returning them to inventory.
- Calculate equipment buyout costs for departing families and oversee invoicing, payment collection and processing.
- Receive and process incoming payments (physical cheques), deposits and refunds.
- Assist with accounts payable/receivable and perform monthly reconciliations for department credit cards and expenses.
- Serve as the initial point of contact for families reporting hardware issues and provide guidance on next steps.
- Manage the intake of damaged devices and act as the primary liaison with manufacturers to process warranty claims and coordinate repairs.
- Act as the central communication hub for families, teachers, and staff regarding shipment timelines, equipment availability, and return instructions.
Qualifications:
- Demonstrates a commitment to, and a lifestyle reflective of, the KCCS Foundational Beliefs
- 2–3 years of experience in office administration, operations, logistics, or a similar role.
- Experience in an educational setting is a strong asset.
- Demonstrated ability to manage physical inventory, coordinate shipping/receiving and track assets.
- Proficiency in basic accounting tasks, including processing invoices, reconciling credit card statements, and handling payments
- Comfortable operating high-volume scanning equipment
- Ability to explain technical or logistical details to non-technical families and navigate sensitive financial discussions with tact.
- Excellent communication skills, both verbal and written
- Organized, detail-oriented, accurate, and efficient with timely follow-up
- Strong analytical and problem-solving skills
- Ability to be discreet and handle confidential information sensitively
- Ability to effectively manage multiple projects and priorities
- Flexible attitude towards innovation and change
- Demonstrated experience in Microsoft Office Suite (Word, Excel, Outlook), Google Docs and managing databases
