The Position

HCOS has an opening for an IE Business Operations Manager. This is a full-time, remote position, working 40 hours per week. The primary purpose of this position is to provide strategic leadership and personnel management for the IE Business Operations team, overseeing fiscal operations, administrative budget, and physical asset management of IE Division. This role provides strategic financial leadership and asset reporting to support the school’s operational growth.

Duties and Responsibilities

  • Assist in preparing the annual IE budget based on student projections and Ministry funding levels. Develop, maintain, and actively forecast the budget to ensure the department remains on target. 
  • Monitor and track the IE administrative budget throughout the fiscal year, identifying variances and providing regular financial updates. 
  • Review, verify, and audit monthly Visa reconciliation statements from cardholders. Partner with the Student Operations team to provide a secondary audit for student support invoice batches. Maintain highly organized records for internal and Ministry Quality Assurance audits. 
  • Directly process staff expense reimbursements and administrative expenditures. Review the General Ledger (GL) monthly to ensure all cross-departmental IE expenses are coded accurately. 
  • Oversee deposit and refund processing. 
  • Oversee the team’s purchasing of resources, curriculum, office supplies, and equipment while staying aligned with the budget. Manage provincial shipping processes for timely, cost-effective deployment. 
  • Oversee tech tracking, computer repairs, warranty management, and student return/buyout workflows. Collaborate with database programmers and leadership to design efficient inventory tracking modules and automated workflows. 
  • Coordinate with corporate accounting, IT, and other school departments to ensure smooth transactions and asset deployments. Represent the program’s business, financial, and asset management needs across the school. 
  • Ensure all financial and asset workflows comply with MoECC regulations and internal policies. 
  • Manage the day-to-day operations of the IE Business Operations Office and participate in School Leadership and division management meetings.
  • Collaborate with IE leadership on hiring, onboarding, supporting, and managing employees. 
  • Plan and deliver professional development, offering guidance to staff for individual growth as well as departmental effectiveness. 
  • Occasional travel to meetings, conferences

Qualifications and Skills

  • Demonstrates a commitment to, and a lifestyle reflective of, the KCCS Foundational Beliefs
  • Business or Accounting Degree, or equivalent professional experience
  • Extensive experience in financial management, budget tracking, and asset management
  • Proven experience in staff supervision and team leadership
  • Experience and knowledge of Inclusive Education is considered an asset
  • Ability to manage, change, and adapt to varied workloads 
  • Ability to be discreet and handle confidential information sensitively
  • Excellent organizational skills and attention to detail
  • Strong skills in verbal and written communication, critical thinking, interpersonal and conflict management
  • Highly proficient technological skills with the ability to manage multiple software programs at once.

  • Competitive Wage: $77,186-$82,785 depending on certification and experience
